This policy underpins how we deliver high-quality work at speed while protecting people, property, and the environment. It applies across all company operations and is reviewed annually or when significant changes occur.

Part 1: Statement of Intent

Zenith Crest Maintenance Service is committed to ensuring the health, safety and wellbeing of our employees, contractors, customers, and all persons who may be affected by our activities. We will comply with all applicable health and safety legislation, including the Health and Safety at Work etc. Act 1974, the Management of Health and Safety at Work Regulations 1999, and associated regulations, and we strive to exceed minimum legal requirements where reasonably practicable.

We recognise that effective health and safety management is integral to the successful delivery of our services and to the protection of our people and our reputation. We are committed to the principle of continuous improvement in our health and safety performance.

We are further committed to minimising our environmental impact. This includes the responsible use of resources (energy, water, materials), reduction of waste, recycling where practicable, and safe disposal of waste in accordance with environmental legislation including the Environmental Protection Act 1990 and the Waste (England and Wales) Regulations 2011.

This policy is signed by the senior management of Zenith Crest Maintenance Service and is reviewed at least annually. All employees and contractors are expected to adhere to this policy and to report any concerns.

Part 2: Responsibilities

Health and safety is a collective responsibility. The following roles and responsibilities are established:

Senior Management / Director

  • Ultimate responsibility for health and safety within the organisation
  • Ensuring adequate resources (financial, human, equipment) for health and safety
  • Setting health and safety objectives and targets
  • Reviewing and approving this policy annually
  • Signing the policy statement

Operational / Site Leads

  • Day-to-day implementation of health and safety arrangements
  • Conducting and reviewing risk assessments and method statements
  • Supervising work activities and ensuring compliance
  • Reporting and investigating incidents and near-misses
  • Ensuring PPE and equipment are provided and used correctly
  • Liaising with clients on site-specific requirements

All Employees and Contractors

  • Taking reasonable care of their own health and safety and that of others
  • Following safe working practices and procedures
  • Using PPE and equipment as instructed
  • Reporting hazards, defects, and incidents
  • Attending required training and inductions
  • Cooperating with management on health and safety matters

Part 3: Arrangements for Health and Safety

3.1 Risk Assessment and Method Statements

Risk assessments are carried out for all significant activities in accordance with the Management of Health and Safety at Work Regulations 1999. Site-specific risk assessments are completed where required. Method statements (RAMS) are prepared for higher-risk activities and larger projects. Assessments are reviewed when work methods change, after incidents, or at least annually.

3.2 Training and Competence

All personnel receive induction training covering our health and safety policy, emergency procedures, and key hazards. Role-specific training includes:

  • Asbestos awareness (where applicable)
  • Manual handling
  • Working at height
  • COSHH awareness
  • First aid (designated first aiders)
  • Gas Safe registration for gas engineers (mandatory)
  • Electrical competence (BS 7671, Part P) for electrical work

Training records are maintained. Refresher training is provided as required by regulation or risk assessment.

3.3 Personal Protective Equipment (PPE)

PPE is provided where risks cannot be adequately controlled by other means. PPE is selected following risk assessment, maintained in good condition, and replaced when defective. Use of PPE is mandatory where specified. Operatives are trained in correct use.

3.4 Accident and Incident Reporting

All accidents, near-misses, and dangerous occurrences are reported and recorded. Incidents are investigated to identify root causes and prevent recurrence. RIDDOR reportable incidents are reported to the HSE within the statutory timeframes. Lessons learned are shared with the team.

3.5 Emergency Procedures

Emergency procedures (fire, first aid, evacuation) are established for each workplace. First aid kits and appointed first aiders are in place. Contact details for emergency services and key personnel are readily available. Site-specific arrangements are confirmed with clients where we work on their premises.

3.6 Gas Work

Gas work is carried out exclusively by engineers registered with the Gas Safe Register. We comply with the Gas Safety (Installation and Use) Regulations 1998. Gas safety certificates are issued where required.

3.7 Contractor and Subcontractor Management

Subcontractors are assessed for competence and insurance before engagement. They receive induction and must work in accordance with our health and safety requirements. We monitor their performance and take action where standards are not met.

3.8 Inspection and Audit

Workplace inspections and audits are conducted periodically to verify compliance with this policy and identify areas for improvement. Findings are documented and actioned.

Part 4: Environmental Arrangements

We are committed to minimising our environmental impact through the following arrangements:

  • Waste management: Waste is segregated where practicable (e.g. recyclables, hazardous). Disposal is via licensed carriers. Waste Transfer Notes and consignment notes (for hazardous waste) are retained as required.
  • Pollution prevention: Spillages of oils, fuels, or chemicals are prevented and responded to in accordance with risk assessments. We avoid contamination of land and watercourses.
  • Resource efficiency: Materials are ordered to minimise waste. Reusable materials and packaging are favoured where practical.
  • Emissions: Vehicles and equipment are maintained to minimise emissions. Idling is minimised.

Part 5: Consultation and Communication

Health and safety information is communicated to all personnel through inductions, briefings, and documentation. Employees are encouraged to raise concerns. This policy is available to all staff and may be provided to clients and other interested parties on request.

Part 6: Policy Review

This policy is reviewed at least annually, or sooner if there are significant changes to our organisation, activities, or legislation. The review considers incident trends, audit findings, and feedback. Amendments are approved by senior management and communicated to all affected persons.
